eInvoicing & ATO – Big Brother is watching!

eInvoicing in Australia: What It Means for Your Business (July 2025 Update)

by Karen McDonald July 2025

What is eInvoicing?

Unlike a PDF emailed to your client, eInvoicing delivers invoices directly from your accounting system to your customer’s system. It’s secure, instant, and removes the need for data re-entry or manual processing.

The ATO oversees the framework, but Peppol is the international standard – used across Australia, New Zealand, and Europe.

Who Needs to Use It (and When)?

  • Federal Government Agencies: Required to receive eInvoices since 1 July 2022.
  • State Governments: Many, including NSW, already require suppliers to use eInvoicing.
  • Private Businesses:
    • No mandatory date as of July 2025.
    • Treasury has signalled large business adoption (turnover >$50M) may start from 2026, with SMEs phased in later.

Why Switch Now?

Even if it’s not compulsory for you yet, there are big advantages to starting now:

  1. Faster payments – many government clients pay within 5 business days for eInvoices.
  2. Lower admin costs – no lost invoices, no manual re-keying.
  3. ATO-compliant – helps reduce fraud risk and improve reporting.
  4. Future-proofing – avoid a last-minute scramble when mandates arrive.

Gotchas and Common Pitfalls

Before you dive in, watch out for:

  • It’s not just emailing PDFs – you need software that supports Peppol eInvoicing (most cloud systems like Xero, MYOB, QuickBooks Online do).
  • Both sides need to be registered – you can’t send or receive until your client/supplier is on the network.
  • Registration required – you must register your ABN through your software or a Peppol access point.
  • Terms don’t change by default – eInvoicing doesn’t guarantee early payment from private customers (unless you negotiate).

How to Get Started

  1. Check your accounting software supports Peppol (and switch it on).
  2. Register your ABN for eInvoicing via your software.
  3. Let your clients and suppliers know you’re eInvoice-ready.
  4. Use eInvoicing now for any government contracts – you’ll get faster payments.
  5. Stay up to date – mandates for large businesses are expected soon.

At Cascade Accounting & Tax, we help businesses set up eInvoicing, integrate it with their systems, and train staff so they can save time and get paid faster.
